AI and Equipment Registry: Serial Number and Replacement History
The application indicates a model of equipment, the photo shows another marking, and the warehouse unloading shows several similar instances. The assistant must collect information for verification, keeping the distinction between the model, the specific apparatus and the place of its installation. This requires a careful registry, not just a large model.
Model, instance and place are three different entities.
Equipment of one model may have different serial numbers and configurations. The installation location record is not the device itself: after replacement, the place remains the same, and the instance changes. Therefore, separately store the model directory, copy cards and installation, removal or transfer events.
For each field, set a source. The serial number can be verified by the read photo of the nameplate and the acceptance document, and the fact of installation - by the accepted record of work. An assistant should not declare the device installed just because his photograph is attached to the letter. The divergence of sources becomes a task for the responsible employee.
Accurate search of the identifier and search by description
Save the original spelling of the marking and separate normalization rules for search. Do not remove the lead zeros and separators without checking: in a particular system, they can distinguish positions. For an incomplete number, show several candidates with sources and ask for clarification, instead of confidently combining the cards.
Uniqueness is set on a suitable set of fields. For example, the internal identifier of the instance may be unique, and the serial number is verified together with the manufacturer and the accepted accounting policy. PostgreSQL allows you to set uniqueness limits, including for a group of speakers. The restriction itself does not define the right business key: it is first agreed upon by the registry owners.
History of substitutions without loss of former condition
Do not rewrite the old card as if the new machine was always on the site. Keep the event, date of action, source of confirmation and author of the change. For the question “what is now?” you need a valid confirmed composition, and for the question of past malfunction – the state on the specified date.
In the control sample, include two similar numbers, a replacement for the same model, a canceled transmission record and an unknown instance. Check that the answer refers to the desired event and does not connect the history of different devices. If the relevance is not confirmed, this should be visible in the response before the new application is made.
Pilot Boundary and Server Project Composition
Start with one consistent registry and a small group of users. Request individual functions: import without loss of baseline values, conflict report, exact number search, description search and history viewing. Recognition of markings from photos is an additional step with manual confirmation, not a mandatory property of any AI server.
To select equipment, you need the volume of records and attachments, the frequency of imports, the number of calls and the permissible processing time. The quotation captures the model, the software environment, the actual configuration, access rights, and the work included. New models are tested on previous complex examples. The update must not change the identifiers or confirmed registry history.
Questions before ordering
Can I combine cards with similar serial numbers?
Only after checking the sources and confirming the employee. The proximity of the text is convenient for finding candidates, but does not in itself prove that two entries belong to the same copy.
Do I need to upload the entire archive of photos at once?
For the pilot, a selected section of the registry and examples of readable, damaged and contradictory markings are enough. First, check the connection of the image with the card and confirmation of fields, then plan to process a large archive.
